Hartspaces Retreat Terms & Conditions Agreement

Please carefully review the terms and conditions below.

Your booking constitutes your acceptance of these terms. If you are booking for multiple guests, all individuals in your party are deemed to have read and agreed to these terms.

1. Contractual Agreement
Your booking confirms a legal contract between you and Hartspaces. By booking, you and all members of your party agree to these terms and conditions.

2. Payment and Non-Refundable Policy
A non-refundable deposit is required to secure your booking. Full payment must be received at least 90 days prior to the retreat start date. Failure to pay the balance by the due date may result in cancellation of your booking without refund.

3. Guest Cancellation
All deposits are non-refundable.
Cancellations made within 60 days of the retreat start date are non-refundable.
Cancellations made more than 60 days before the retreat may receive a refund of any payments beyond the deposit, provided Hartspaces is able to fill your spot.
Guests are welcome to transfer their booking to another person at any time, subject to approval by Hartspaces.

4. Cancellation by Hartspaces
Hartspaces reserves the right to cancel the retreat. In such cases, a full refund for the retreat cost will be provided to all guests. Hartspaces is not responsible for reimbursing any travel-related costs, including flights, accommodations, or other expenses incurred due to retreat cancellation.

5. Passports, Visas, and Travel
Guests are solely responsible for obtaining valid passports, visas, and any other required travel documents. Passports should be valid for at least 6 months beyond your travel dates. Hartspaces is not liable if entry is refused due to improper documentation, and no refund will be provided in such cases.

6. Travel Insurance
Hartspaces does not provide travel insurance. Guests are strongly encouraged to purchase comprehensive travel insurance covering trip cancellations, medical emergencies, and other risks. Guests are financially responsible for any loss or expenses incurred.

7. Roommate Requests
Solo travelers requesting shared accommodations will be matched with another guest where possible; however, this cannot be guaranteed.

8. Activities & Schedule
Included and excluded activities are listed on the retreat webpage. Optional activities are not covered in the retreat price or this agreement. Third-party services arranged during the retreat are not the responsibility of Hartspaces. Retreat schedules, teachers, and activities may change without prior notice.

9. Right to Deny Booking
Hartspaces reserves the right to refuse any booking before the retreat start date. In such cases, a full refund will be issued.

10. Photography and Videography
Images and videos taken during the retreat may be used by Hartspaces for marketing purposes without compensation. If you wish to opt-out, please notify us in advance of the retreat.

11. Assumption of Risk and Indemnification
Participation involves inherent risks including injury, illness, delays, or other unforeseen events. You accept full responsibility for your safety and agree to indemnify Hartspaces from any claims arising from your participation or negligence.

12. Limitation of Liability
Hartspaces is not liable for any direct or indirect damages, injury, or losses incurred during or related to the retreat. You release Hartspaces from all claims arising from your participation.

13. Privacy
Personal information collected may be used for trip operations and marketing purposes in accordance with our privacy policy.

14. Allergies and Dietary Restrictions
While we strive to accommodate dietary needs, Hartspaces cannot guarantee allergen-free environments. You acknowledge and accept the risk of allergen exposure and release Hartspaces from liability related to allergies.

15. Amendments
Hartspaces reserves the right to update or amend these terms at any time.

16. Mental and Physical Health
By booking, guests confirm they are in good mental and physical health suitable for participation in retreat activities. Hartspaces and its facilitators are not licensed therapists or medical providers and cannot offer professional therapeutic or medical support. If you have any mental health concerns or physical conditions, please consult your healthcare provider prior to booking. Guests agree to take full responsibility for managing their health and well-being during the retreat.

Waiver and Release of Liability
As consideration for participating in Hartspaces retreats, I hereby waive any claims against Hartspaces and its affiliates for injury, damage, or loss arising from my participation. I affirm I am physically, medically, and emotionally fit to participate and accept full responsibility for my well-being. I understand retreat activities are not substitutes for medical care and that Hartspaces is not a medical provider.

Hartspaces reserves the right to remove any participant whose behavior disrupts the retreat, without refund or liability.
By booking, I agree to all terms and conditions outlined above and acknowledge the binding nature of this contract.
